Terms and conditions for Online Application for Intensive Japanese Course

1. Entry Items

Please fill in the prescribed form taking care not to make any mistakes. If there are any mistakes or blanks, you may not be able to complete the procedure when you apply for your visa.

2. Qualification Requirements

You must live outside Japan and must be age 16 or over. When the applicant is under age 20, please fill in the form with a guardian's consent. We do not accept an application by an agent. Please make sure that the applicant is the same person as the one who wishes to study.

3. Payment

The payment must be by credit card. Make sure to make the application with the card holder's consent when the card holder is not the student.
The cost of textbooks and other materials and costs apart from the tuition fee differs depending on the course and the class. Please pay it at the school when the class has been decided.

4. Level-check Test

1 .Please come to school for a level-check test on the specified date and time, if you are enrolled from the beginning of the term. 

 2. Those who are not applicable to 1. should contact the school directly and make an appointment to take the level-check test.

5. Holidays and Lesson Hours

The lessons take place on the dates and time which are specified on the Course Schedule. There are no lessons on the dates which are also specified on the Course Schedule. 

6. Cancellation before the course begins.

Cancellations must be notified in writing by e-mail. Please contact us again if you do not hear from us after your notification.
The following regulations shall be applied to cancellations, for whatever reason, before the course begins.
Registration fee cannot be refunded. All the commission that is necessary for the refund will be charged.

7. Change or Cancellation after the course begins.

It is not acceptable to cancel or change your course after beginning of the course.

8. Travel Insurance

Please buy traveler's insurance as a preparation for emergency during your stay. ARC Academy does not take any responsibility for any loss or damage caused by accidents, diseases, natural calamities or strikes. ARC Academy also does not take any responsibility for accidents occurring during transportation or in accommodation or for any lost, damaged or stolen personal property.

9. Privacy Policy

ARC Academy uses students' personal information for what is necessary as shown below. Students' personal information is protected by the staff of ARC Academy and will not be used for any other purposes without the student's agreement.
(1) Preparation and arrangement for the lessons.
(2) For ensuring students' safety in case of emergency.
(3) When it has been requested by the immigration authorities or other public organization and ARC Academy thinks it is necessary.

10. Acceptance Certificate

We will send a confirmation of your application to your e-mail address within 24 hours after receiving your Online Application. Please call +81-3-3409-1057 when you do not hear from us in 24 hours.

11. In case of visa refusal

With ｔhe e-mail of confirmation mentioned above 10. Acceptance Certificate, you can normally enter Japan. There are cases that you need an Acceptance Certificate (letter of invitation) and other documents depending on your nationality and consulate but the confirmation mail covers what you need from the school.
ARC Academy is not responsible to your visa issue or permission to enter Japan. In the case that your visa is not issued or when you are refused entry to Japan, send an e-mail immediately for canceling your course. In that case, we will refund the fee according to item 6. Cancellation before the course begins.

12. Exemption from Responsibility

We are not liable in the event that we are unable to offer lessons due to circumstances or conditions beyond our control, such as, but not limited to, earthquake, typhoon, accident or infective disease. Refund will not be made in such circumstances. 

13. Use of Picures and Video

ARC Academy may take photos or make video records of class activities. We may also use these materials for advertising purposes (such as internet advertisement brochures and posters). We will not specify names when using these materials so that they will not be used to identify any personal information.
